The Opportunities Board

The Opportunities Board lets you visually track how many Open Opportunities are in your Sales Pipeline, see where each of your Opportunities are in the process, and helps you easily prioritize your most urgent or valuable Opportunities first.

You’ll love how the Opportunities Board simplifies lead oversight and ensures everyone is on the same page, so nothing falls through the cracks!

NOTE: An Opportunity must have a Pipeline assigned to it to be included in the Opportunities Board view.

The Opportunities Board is located in the Sidebar under Objectives.

It is comprised of:

  1. The Pipeline Filter.

  2. The Opportunities and Total Value Count.

  3. Filters.

  4. Sort and View Options.

  5. Stages.

  6. Opportunities.

  1. Select which Opportunity Pipeline you want to view in the Opportunities Board to see an overview of the stages and progress.

  2. The Opportunities Board shows a column called Not Started for any of your new Opportunities. Opportunities stay here until you move them to an actual Stage in the Pipeline.

  3. Move your Opportunities to the next Stage in your Pipeline by dragging them from one Stage to the next.

Pro Tip: As you move a project through the Pipeline, four different Statuses appear at the bottom of the Projects Board. At any time, you can choose to change the Project's status by dragging and dropping it onto one of the following options:

  • Cancelled

  • Deferred

By consolidating key details and tracking every stage of the sales process using information from your Activity history, not only will you never miss closing a deal again, but you will secure new business more quickly.

What is an Opportunity?

An Opportunity represents the potential for new business. Opportunities help you track business leads, turn prospects into clients, and forecast potential revenue. They store important information like key details, current state, probability to close, total value, and classification.

    Creating an Opportunity

    The easiest way to start tracking new leads is to create a new Opportunity with the New Item button from the home screen: Home > + New > New Opportunity.

    Populating the New Opportunity Card

    When you create an Opportunity in Daylite, linking all relevant information not only centralizes this information to the opportunity specifically, it also links directly into the rest of Daylite, meaning it can be accessed anywhere in Daylite you happen to be. The more information you can fill out, the richer your data and tracking become. And don't worry - you can always come back to an Opportunity and fill in additional details as you acquire them.

    Below is an example of an Opportunity card. You are encouraged to fill out as much as you can, paying close attention to fields specific to Opportunities, including:

    Link - Contact and Company of lead

    Select/Apply - Appropriate Pipeline

    Value - An estimate of how much revenue the opportunity is worth based on what is known at this point. A high-value Opportunity could be considered more important than a low-value one.

    Probability - The measure of how likely the Opportunity is going to be Won. The Probability does not affect the value of the Opportunity.

    Forecasted Close Date - The anticipated close date, based on your knowledge & experience, the client will agree to your offer and you win the opportunity.

    Once you've entered all the known details about the Opportunity, click save and your new opportunity will show on the Opportunities Board.

    Time is irreplaceable, so make the most of it!

    Daylite's timesaving features that streamline routine tasks and simplify navigation are crucial in your day-to-day, keeping things from falling through the cracks while boosting productivity and efficiency as you focus on higher-priority activities.

    Opening multiple tabs and customizing your Favorites Bar in Daylite reduces the time spent switching tasks and searching for information. These enhancements ensure a fluid workflow, minimize distractions, and help you achieve more with less effort, making the most of your valuable time.

    Opening Multiple Tabs

    Just like a web browser, you can open and arrange multiple tabs within Daylite. Each one is identified by the name of the Contact, Company, Project, Opportunity or Note.

    1. Click the + icon to create new Tabs.

    2. Tabs can be rearranged in a preferred order by drag and drop.

    Here are six keyboard shortcuts that make working in tabs easier for you:

    • Command + T — Open a new tab

    • Shift + Command + \ — Show all tabs

    • Command + W — Close current tab

    • Option + Command + W — Close all other tabs

    The Daylite Favorites Bar

    You can also utilize Daylite's Favorites Bar to quickly switch to your frequently used items. For example: If you regularly open a Smart List, such as a List of Projects with Due Tasks, simply drag the item to the Favourites Bar and release. Now you have quick access to your most frequently used items.

    Tip - To turn on Daylite's Favorites Bar, select 'Show Favorites' from the View menu.

    Mail in Daylite brings your email directly into your workflow, making it easier than ever to connect incoming and outgoing emails to your business records. Link your communications to customers and companies, across tasks, projects, and more.

    Having a complete history of communication in one place is indispensable because you always have the information you need at your fingertips! Connecting your email to Daylite turns your inbox into a powerful tool that allows you to effortlessly link your communications with contacts, opportunities, and projects.

    Add your email account to Daylite and never miss an important detail again.

    Add Your Email Account to Daylite

    Daylite works with all major email providers, so you can bring your inbox right into your workflow.

    Quick Setup :

    1. Select My Mail in the sidebar

    2. Click Add Mail Account

    1. Choose your email provider:

    • Gmail

    • iCloud

    • Office 365

    • Outlook

    1. Follow the prompts to sign in

    Add Additional Accounts

    Need to add multiple email accounts? No problem!

    After adding your first account, add more by choosing Daylite > Settings > Mail > Mail Accounts > Add Mail Account.

    You can manage multiple inboxes from different providers all within Daylite.

    Navigate Mail in Daylite

    Once your email account is connected, Mail in Daylite organizes your email into four main sections:

    1. Sidebar Displays all your inboxes, folders, and accounts. Switch between accounts or view all inboxes together.

    2. Message List Shows messages from the selected mailbox with visual indicators to help you identify important emails quickly.

    3. Message View Read your selected email and take action with the Toolbar and Action bar.

    4. Details View See business context and related items to the email for the email sender—including tasks, opportunities, projects, and activity history.

    This layout keeps everything you need visible: your emails, your actions, and your business context—all in one place.

    A Different Perspective

    Daylite's live and customizable multi-view options are a game-changer, giving you multiple perspectives on the information you need instantly!

    With Multi-Column List View, quickly scan and sort large amounts of information, similar to a spreadsheet, except you can easily customize the view to capture the information you need, in the moment! See important information such as upcoming tasks, appointments, most pressing due dates, etc., with a single click.

    Insight View provides real-time updates on your Sales Opportunities, showing what you’ve won or lost and their monetary value. Highlight top deals, potential hurdles, team performance, and historical data on deal closure times.

    Using Multi-Column List View

    There are a few ways to access the Multi-Column List view in Daylite.

    In this example, we will look at All Opportunities in the Daylite Sidebar.

    To view the Multi-Column List, you can either:

    1. Go to Daylite > View > Multi-Column List.

    1. OR - Click the Multi-Column List icon in the Daylite toolbar.

    1. To customize your view, drag each column into the order you want. Right-click a column to add or remove.

    Using Insight View

    1. Select All Opportunities from the Daylite Sidebar.

    2. Choose Insight View from the Daylite Toolbar.

    1. You will notice that fields turn red when you hover your pointer over them, including all corresponding fields related to your inquiry. Daylite does this so you can find the information you need quickly, as the highlighted red fields relate to each other. Double clicking on any red highlighted field will filter your search, in essence, drilling down one level further.

    Starting a New Project

    Start a New Project

    The easiest way to start a project is to create a new Project with the New Item button from the home screen: Home > + New > New Project.

    Populating the New Project Card

    When you create a Project in Daylite, linking all relevant information not only centralizes this information to the project specifically, it also links directly into the rest of Daylite, meaning it can be accessed anywhere in Daylite you happen to be. The more information you can fill out, the richer your data and tracking become. And don't worry - you can always come back to a Project and fill in additional details as you acquire them.

    Below is an example of a Project card. You are encouraged to fill out as much as you can, paying close attention to fields specific to Projects, including:

    Link - Contact and Company of lead

    Roles - Quickly identify who on your team is responsible for what, and who you should speak with at a company.

    Select/Apply - Appropriate Pipeline

    Status - as your project progresses, you can change the status to reflect how far along it is

    Priority - manage time and effort by establishing the amount of attention projects require

    Due/Start Dates - set your dates to stay on track

    Delegate - if applicable, you can delegate this project to others

    More ways to create a Project

    Start a New Project with a New or Existing Contact

    You can create a Project from a new or existing Contact. For example, if you were on the phone with a client and wanted to create a new Project for them, this would link the new Project to the Contact automatically.

    1. Click on People in the Contacts section of the Daylite Sidebar.

    2. Select the relevant Person.

    3. Select the … icon in the Activity View.

    4. Select New Project from the menu.

    Start a New Project from an Email

    Email is one of the most common ways a Project starts. Daylite includes the Daylite Mail Assistant, an extension for Mail on the Mac. It allows you to capture new Projects straight from your inbox, and link the relevant email so you can reference it later from the Project Activity.

    1. If you would like to add an email to Daylite, click the Add to Daylite button.

    1. The button will then change to In Daylite, which indicates that the current email has been added to Daylite.

    2. Click New Project under the Projects and Opportunities section.

    Start a New Project from Tasks

    Another way to start a New Project is from an existing Task. You can convert an existing Task into a New Project in a few easy steps.

    1. Click on My Tasks under the Tasks section in the Daylite Sidebar, then select the Task you want to convert to a New Project.

    2. Next, choose Edit > Convert Task to Project.

    1. The Task will be successfully converted into a Project, and placed in My Projects, under Projects in the Daylite Sidebar.

    Start a New Project from an Opportunity

    You can also create a new Project from an Opportunity, just like you can with Tasks.

    1. Click on My Opportunities under the Objectives section of the Daylite Sidebar, then select the Opportunity you want to convert to a New Project.

    2. Choose Edit > New Project from Opportunity.

    1. The Opportunity will be converted into a Project, and placed in My Projects, under Opportunities in the Daylite Sidebar.

    Setting Up Pipelines In Daylite Preferences Starting A New Project In The Projects Board Filtering Projects Board

    Emails are full of opportunities to grow your business! As prospects email, create an Opportunity from within your inbox, then manage and track it in Daylite.

    1. In Mail, select an email that represents a new business opportunity.

    2. In Mail Assistant under 'Projects and Opportunities' select + New Opportunity

    3. Enter the details for the Opportunity and click Save (If the contact is already in Daylite, they will automatically be linked. Otherwise you can create the contact here, now)

    Turn an Email into a Task or Appointment

    1. Select an email that needs a Task or Appointment created.

    2. If the contact is already in Daylite, they will automatically be linked (otherwise you can create the contact here, now)

    3. In Mail Assistant select either + New Task or + New Appointment under 'Tasks' or 'Appointments' respectively.

    4. The new Task or Appointment will be added chronologically to the Contact's history, as seen in the Activity View.

    Delegating Tasks

    Delegating a Task you create from an email is critical to gaining control of your inbox. You can "assign" a Task to another user using the delegate button while maintaining ownership of it. Be sure to select the 'notify me of changes' option in the delegation process, so you receive notifications of Task progress and completion.

    You can link an email to an existing Task, and delegate it straight from your inbox so you can move on to the next issue.

    1. Create a new Task as shown above.

    2. Click Delegate, then choose the person you want to delegate this Task to.

    3. Select Notify me of changes and click Delegate.

    Filling in a Daylite Mail Assistant Record

    Daylite is available for both iPhone and iPad, so the first step is to download Daylite to your devices. Scan this QR Code using your device's camera and tap the detected link to be taken to Daylite in the App Store. If you are reading this guide on your iPhone or iPad, tap this link to be taken to Daylite in the App Store.

    Sync Between Your Devices

    1. Daylite syncs across all of your devices, so all of your Opportunities, Projects, Tasks and more will update automatically.

    Sync Your Calendars

    1. Select Calendars in the Sidebar and you will find two versions. The first is called My Calendar. From here you can view your daily, weekly and monthly Calendar events, across all your devices.

    The second is called All Calendars. This is the team calendar that lets you view, create, and edit calendars between your team. Note that the user name changes based on the Calendar selected.

    Linking

    1. One of the most important and unique features of Daylite is its ability to easily link relevant information together. You can link your Contacts to other People, Companies, Projects and Opportunities with a few easy taps.

    1. Having a complete history of communication in one place is invaluable. Daylite on your iPhone and iPad linked to your email ensures your inbox remains a powerful tool while you are on the go, enabling you to seamlessly keep your email communications with customers and companies across tasks, projects, deals, and more, all in one place!

    A new Task can be created by clicking the + New Task button.

    1. You can store a lot of information in the Task details but for now, let's focus on the title, pertinent details, a category (for context), and a due date with a reminder!

    Prioritize Your Tasks with a Worklist

    Now that you have created Tasks, the Worklist section is a tool designed to help you focus on your top priorities for today in one location, making them easily viewable.

    How to Add a Task to the Worklist

    When you select either an existing Task or create a New Task, you can add it to the Worklist by clicking the pin icon within the Task itself. Clicking on the pin icon moves the Task into the Worklist section. A Task that is in the Worklist will have an orange pin icon. When a Task still needs to be completed but is no longer a priority, click the pin again to remove it from your Worklist.

    Pro Tip:

    Aim to keep your Worklist focused and small.

    If other items come up that take priority, review your Worklist to decide which Tasks need to be removed. This will help you stay focused on the utmost priorities.

    Viewing Your Tasks and Worklist

    Created Tasks, and Tasks that have been pinned to your Worklist, can be viewed from: a. Home View b. Daylite Sidebar under Tasks > My Tasks c. Top of Calendar

    Daylite's ability to supply important information at a moment's notice is only as good as the information you put into it.

    As you build your historical data in Daylite, it becomes more important than ever to keep it organized and customized so you can access the information accurately and efficiently.

    Using filters to set specific criteria, Smart Lists allow you to customize the information you see in Daylite, so you can quickly access what you need and hide the rest. To make things more accurate and efficient, saved Smart Lists dynamically update in the background, ensuring you always have the latest information at your fingertips!

    What is Segmenting?

    Segmenting is the process of categorizing your data into groups based on relevant criteria. This provides the best way to sort and order the data you add to Daylite and offers a reliable means to search and analyze that information. You can segment Tasks, Opportunities, Projects, Calendar entries, Notes, and more!

    Filtering Your Data

    1. When you click on the Add Filter icon, you will see the Filter popover. Each row can be configured to filter by a different field.

    1. What do you want to filter? - a checkmark will appear beside your filter choices.

    1. How do you want to filter the search? - any, all, or not at all.

    Did you know?

    "Match all" requires ALL filtered conditions to be met for a result to be successfully generated.

    "Match any" requires ANY filtered conditions to be met for a result to be successfully generated.

    1. You can add additional sub-filters. - creating sub-filters can help you focus on what you need.

    Creating a Smart Lists

    Now we come to the amazing part.

    Using filters to search and further segment data may not be a new idea, but what really makes Daylite stand out is what we do with that data when we create Smart Lists!

    A Smart List appears on the left-hand Sidebar and automatically updates the filter, or filters you've just created. Every filter you create and save as a Smart List is automatically placed in the Daylite sidebar.

    If you add a new Contact to Daylite, or update an existing Contact's record, your Smart List will look at that new information, and if any of it matches the existing filters, the Smart List will automatically include that new information in its filtered search.

    As an Example

    Let's say you wanted to follow up on your leads that have not seen any activity in the last 90 days.

    Your filter should look like this:

    1. Set your Filter to Match All

    2. Filter for Categories that are Leads

    3. Click ... to add a sub-filter.

    4. Set the sub-filter to Do not match all

    1. Name the Smart List Leads Going Cold.

    Summary

    Congratulations! Now that you are an expert at segmenting, filtering and Smart Lists, you are now working most efficiently, saving you time and hassle and making you money!

    Adding Your Apple Contacts to Daylite

    We are huge fans of having everything in one place - saving you irreplaceable time and unnecessary stress and disorganization.

    In Daylite, your contacts are an integral piece of building what becomes a complete activity history, as they are linked to everything you do, including emails, meetings, tasks, projects and potential deals associated with a contact. By bringing just 10 contacts into your Daylite database today, you will immediately see how Daylite keeps your business details together, organized and efficient with little effort.

    Let's get started getting your business contacts into Daylite! Here's how!

    Importing your Apple Contacts

    Apple's Contacts application is built right into macOS. As such, it is easy to import People and Companies from Contacts directly into Daylite.

    1. In Daylite, select File > Import > Import Contacts.

    1. Next, choose Import from Contacts app from the options presented. This will let you choose Contacts from the Apple Contacts app, including your iCloud account.

    1. Although not required, we encourage you to assign a Category to your Contacts during the import process. This small addition now will keep your data clean and organized, saving you precious time later. For example, you could choose to assign a category of Client to the first batch of contacts you import, and Prospect to the next batch. Once these Contacts have been successfully imported, their category will be set automatically.

    1. Select the Contacts you wish to import and then click the blue Import Contacts button.

    Please note that only new Contacts are added during the import process. Daylite will update any duplicate Contact records accordingly.

    1. Now your contacts are in Daylite, organized with basic information and colour-coded by category. This will make your life so much more efficient in the future!

    Adding an Email to Daylite

    Now that you have connected your email to Daylite, it's time to start building your business communication history. With Mail in Daylite, you can add emails and link them to contacts, allowing Daylite to automatically organize everything for you.

    Add an Email to Daylite

    Select any email in your inbox you wish to add to Daylite and click the Add to Daylite button in the Action bar.

    The email is now stored in Daylite. If the email is from an existing Daylite Contact, or there is a Daylite Contact in the To, Cc, or Bcc fields, the email will be auto-linked to the Contact. If the Contact is linked to an active Opportunity or Project, the email will automatically be linked with these as well. (More on Opportunities and Projects later in the guide!)

    Important: The Add to Daylite button only adds the single message you're currently viewing.

    Adding Email Threads

    When you're viewing an email thread, at the top of the message section you will see the linked messages count. Click this and then select Add all to Daylite.

    Linking Items to Emails

    When you add an email and link it to an item in Daylite, it becomes a part of that item's Activity history. This ensures you always respond to an email with the full knowledge of your relationship and current business status.

    Daylite automatically recognizes contacts on the message if they're already in your database and links the email to them. If those contacts are linked to a single active project or opportunity, the email links to those items as well.

    If an item doesn't link automatically, select the Link icon in the Action bar, enter the item name, then double-click it in the list.

    Creating People from Email

    When you add an email to Daylite and the sender isn't already a contact, Daylite makes adding a new person easy.

    To create a person from an email:

    1. Open the email

    2. Click Add to Daylite

    3. Select Create New Person

    Daylite automatically fills in Name and Email address. You can then add additional details like Phone numbers, Category, Keywords, etc.

    Activity View

    You can view a Contact's details directly in the Details View on the right side of the Mail interface. To see their full history in the Activity View, click on Activity in the top right.

    Daylite's Activity View shows every Contact's interactions chronologically, and each Item has an associated icon to make it easier to identify.

    Stored Emails

    The Stored Emails section in Daylite provides a centralized view of all emails you've added to Daylite, regardless of which contact, project, or opportunity they're linked to.

    You can find Stored Emails in the Daylite sidebar. This is useful when you need to search across all emails without filtering by contact, want to see a complete overview of recent email activity, or you're looking for an email but don't remember who it was from or which project it relates to.
