# Mail Settings

Configure accounts, viewing, linking, storage, and composing for Mail in Daylite.

The **Mail** settings pane configures Mail in Daylite — Daylite's built-in email — from the accounts you send and receive with to how messages are linked to your records, stored, and composed. Its options are grouped in a sidebar under three headings: **General** (Mail Accounts, Viewing, Fonts, Sounds), **Daylite** (Linking, Email Storage), and **Composing** (Default Sender, Signature, Compose in Daylite).

**Key facts:**

* Mail is a **Personal** setting: these choices apply to your own login.
* Find it at **Daylite > Settings > Mail**.
* The **Linking** section controls how emails automatically attach to your Daylite contacts, projects, and opportunities.
* The **Email Storage** section controls whether email contents live on your Mac or download on demand from Daylite Cloud.

### Mail Accounts

Lists the email accounts connected to Mail in Daylite and lets you add more. Click **Add Mail Account…** to connect another account. *Impact:* these are the accounts you send from and receive into within Daylite — and only mail from connected accounts can be auto-added and linked to your client records.

### Viewing

Controls how messages are displayed:

* **View as Conversations** — groups messages from the same thread together into a single conversation.
* **Most Recent Message on Top** — shows the newest message at the top of a conversation instead of the bottom.

*Impact:* conversation grouping means a long back-and-forth with a client reads as one thread rather than a dozen separate messages, and putting the newest first saves scrolling to find where things landed.

### Fonts

Sets the **Message Font** — the typeface and size used when reading and writing messages (for example, Helvetica 12.0). Click **Select…** to change it. *Impact:* purely readability; worth raising the size if you process a lot of mail in a sitting.

### Sounds

Turns mail sound effects on or off:

* **New Mail Sound** — plays when new mail arrives.
* **Message Sent Sound** — plays when you send a message.

*Impact:* audible cues tell you mail arrived or sent without watching the screen — useful if you want confirmation a message went out, distracting if you're heads-down. If you see a note that Daylite notification sounds are disabled, enable them in **System Settings > Notifications > Daylite Helper**.

### Linking

This section controls how emails are automatically added to Daylite and what they get linked to — the heart of keeping client email attached to the right records without filing by hand.

**Auto-Add Messages.** When on, a message is automatically added to Daylite when you view or send it and there's a Daylite contact in the From, To, or Cc field. *Impact:* this is what removes email filing from your day — client correspondence lands in Daylite as you work rather than needing to be dragged in afterwards.

**When a message is added to Daylite:**

* **Link All Contacts** — links every matching Daylite contact on the message. Does not include users.
* **Link Project** — links the project, if there is only one match.
* **Link Opportunity** — links the opportunity, if there is only one match.
* **Link All Attachments** — also stores the message's attachments in Daylite.

*Impact:* these decide how complete a client's Activity View is. With them on, an email attaches itself to the contact and to the job it concerns, so anyone opening that record sees the full history. The single-match rule on projects and opportunities is deliberate — where a contact has several active ones, Daylite doesn't guess, leaving you to link the right one.

**Users:**

* **Show Users as Suggestions** — shows Daylite users as a grey suggestion token so they're easy to link to a message.
* **Link Users** — links Daylite users found on the message. Excludes you.
* **Link Me** — links your own user contact to messages. Not recommended for most users, since you'd be linked to every message you add to Daylite involving your user contact.

*Impact:* these control how much internal noise ends up on your records. Suggestions keep teammates one click away without linking them automatically, while **Link Me** is best left off — otherwise your own contact accumulates a link to virtually every email in the database.

{% hint style="info" %}
**Tip:** Leave **Auto-Add Messages**, **Link All Contacts**, and the single-match **Link Project / Link Opportunity** options on. Together they file client email onto the right records automatically, so a contact's Activity View stays complete without manual linking.
{% endhint %}

### Email Storage

Controls where email contents are kept. When anyone adds email messages to Daylite, copies are saved into Daylite so they can be linked to your contacts, projects, and other records. Those copies can take up storage on your Mac and slow syncing, so Daylite recommends choosing how they're stored:

* **Optimize Storage** — email contents download as you need them, and the originals are stored in Daylite Cloud. This saves space on your Mac.
* **Download All Email Contents** — all email contents are downloaded and stored on your Mac, so you have access to them while offline. The pane shows how much space this requires.

*Impact:* this is the trade-off between disk space and offline access. Optimize Storage keeps your Mac lean and syncing quick; Download All means a client's full email history is readable on a plane or at a site with no connection.

### Default Sender

Sets the account new messages are sent from by default. If you have more than one mail account connected, pick the one that should be your default From address. *Impact:* prevents the common slip of sending client mail from the wrong address when you run separate business and personal accounts.

### Signature

Controls your email signatures:

* **Use a separate signature per account** — when on, each mail account has its own signature. When off, a single signature applies across accounts.
* Select an account to edit the signature used for it.

*Impact:* per-account signatures matter if you send on behalf of more than one business or brand — each address signs off correctly without you editing it every time.

### Compose in Daylite

The **Compose in Daylite** toggle decides where you write email:

* **On** — messages are always composed in Daylite.
* **Off** — email messages composed outside the My Mail tab open in your default mail app (Daylite).

*Impact:* composing in Daylite keeps the message in the same place as the client record you're writing about, so it's captured and linked without a detour through another app.

### Frequently asked questions

**How do emails get attached to my Daylite contacts automatically?** On the **Linking** section, turn on **Auto-Add Messages**. A message is then added to Daylite whenever you view or send it and a Daylite contact is in the From, To, or Cc field. **Link All Contacts** links the matching contacts.

**Why are my projects or opportunities only linked sometimes?** **Link Project** and **Link Opportunity** link automatically only when there's a single match. If a contact has more than one active project or opportunity, Daylite doesn't guess — you link the correct one yourself.

**Should I turn on Link Me?** Usually not. **Link Me** links your own user contact to every message you add involving that contact, which clutters your records. It's off by default for that reason. It can also impact auto-linking Opportunities and Projects when you have multiple Opportunities or Projects.

**What's the difference between Optimize Storage and Download All Email Contents?** **Optimize Storage** keeps message contents in Daylite Cloud and downloads them as needed, saving space on your Mac. **Download All Email Contents** stores everything locally so you can read email offline, using more disk space.

**Where do I add another email account?** On the **Mail Accounts** section, click **Add Mail Account…**.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.daylite.app/help/mac-fundamentals/settings/mac-settings/personal/mail-settings.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
