Mail in Daylite Settings

Set up a mail account in Daylite and work through every setting such as linking, storage, default sender, signature, sounds, compose behaviour, and fonts.

Mail settings control how Daylite handles your email accounts, how messages are added and linked, and how mail looks and behaves. You reach them at Daylite > Settings > Mail.

Key facts:

  • All Mail settings live in Daylite > Settings > Mail.

  • You can add more than one mail account, and each account has its own Description, Name, Email, mailbox, and server settings.

  • Auto-Add Messages adds a message automatically only when a Daylite contact is in the From, To, or Cc field.

  • Optimize Storage is the recommended storage option and downloads email contents on demand.

  • Some settings may be hidden or dimmed depending on how your mail server is configured.

Select My Mail in the Sidebar.

Your inbox now appears in Daylite, ready to connect with your business workflow

By adding your work and personal email accounts to Daylite and keeping each account separate, you avoid confusion over which account is which.

1

Select Mail

Select Mail from the Sidebar.

2

Add an account

Tap Add Mail Account.

3

Select an account type

Select the Mail Account type you want to add.

4

Enter your account information

Enter your email account information.

Each account you add then appears separately under Accounts.

For what the Mail view contains once your account is connected, see The Mail View.

Supported Account Types and Providers

Mail in Daylite works with these account types:

  • Gmail

  • Office 365

  • Outlook

  • iCloud

  • Yahoo

  • AOL

  • IMAP

Each provider has its own setup steps, documented on its own page under Add Mail Account.

Office 365 and Outlook accounts currently require IMAP access to be enabled on the account. Adding these accounts without IMAP is a feature under consideration.

Mail Account Settings

Daylite > Settings > Mail > Mail Accounts is where you add, remove, and manage the accounts connected to Daylite, and set the options for each one.

Depending on your mail server's configuration, some settings may not appear or may be dimmed.

Description, Name, and Email

  • Description — the name of the account as it appears in the Accounts section of Settings and in My Mail. Use it to tell your accounts apart, for example Work, Personal, or Gmail.

  • Name — the name recipients see when you send email from this account.

  • Email — the address messages from this account are sent from, and the address shown in the From field sender list.

Mailbox Settings

Mailbox Settings sets which mail folder is used for sending and for archiving.

Server Settings

Server Settings shows the account's IMAP and SMTP server settings, and lets you edit them.

Removing an Account

Remove Account removes the account from My Mail. Emails from that account that you have already stored in Daylite are not removed.

Linking Settings

Daylite > Settings > Mail > Linking controls how emails are added and linked. Adding stores a copy of the email in Daylite; linking connects that stored email to Daylite items such as Contacts, Projects, or Opportunities. For the difference in practice, see Email Overview.

Auto-Add Messages

When Auto-Add Messages is on, messages are added to Daylite automatically when you view or send them, provided a Daylite contact is in the From, To, or Cc field.

What Gets Linked When a Message Is Added

Once a message is added, you choose what it links to:

  • All the Contacts in the From, To, or Cc fields

  • A single open Project, when a contact in those fields is already linked to it

  • A single open Opportunity, on the same basis

To link an email manually instead, see How to Add an Email to Daylite.

Email Storage Settings

Daylite > Settings > Mail > Email Storage controls how emails added to Daylite are downloaded to your Mac. Emails you have not downloaded still appear in their listings.

These settings affect stored emails only. They do not change how My Mail downloads messages from your mail server.

  • Optimize Storage (Recommended) — Daylite downloads an email's contents and attachments only when you open them in Stored Emails or an item's Activity View. An internet connection is needed to view emails that have not been downloaded.

  • Download All Email Contents — Daylite downloads all stored emails and their attachments so they are available offline. With a large number of stored emails, this option can affect performance.

Default Sender

Daylite > Settings > Mail > Default Sender sets which account your email is sent from by default. A checkmark marks the current default sender; click another account to change it.

When composing a message, you can send from a different account by clicking the From field. See Sending and Replying to Email in Daylite.

Signature

Daylite > Settings > Mail > Signature holds one signature per account, or one signature used for all accounts. Select an account to add or edit its signature, then type your text and insert an image if you want one. Your default signature is applied when you compose a message.

Sounds

Daylite > Settings > Mail > Sounds turns the send and receive sounds on or off, giving you an audible cue as mail moves in and out of your inbox.

Compose in Daylite

Compose in Daylite sets whether emails composed through Daylite open in Daylite or in your default email app. It applies to compose actions started inside Daylite, such as composing from a contact's email field or through a letter merge.

Other actions, such as clicking a mailto: link, open in your default mail app regardless of this setting.

Fonts

Daylite > Settings > Mail > Fonts sets the default font for email in Mail in Daylite.

Message Font — click Select... to choose a font, style, and size. The choice applies both to reading and to writing email.

Troubleshooting a Mail Account That Will Not Connect

If an account does not connect, work through these checks:

1

Confirm your software versions

Confirm you are running macOS 14.4 Sonoma or later and the latest version of Daylite for Mac.

2

Check server settings

Check Server Settings for the account to confirm the IMAP and SMTP details are correct.

3

Confirm IMAP access

For Office 365 and Outlook accounts, confirm IMAP access is enabled on the account. Some organizations do not allow it, and Mail in Daylite currently requires it.

4

Check sign-in requirements

Check with your provider whether the account needs an app-specific password or additional sign-in approval.

Frequently Asked Questions

Can I add more than one email account? Yes. After your first account, add more at Daylite > Settings > Mail > Mail Accounts > Add Mail Account.

If I remove an account, do I lose the emails I added to Daylite? No. Removing an account removes it from My Mail. Emails from that account already stored in Daylite stay in Daylite.

Which storage option should I choose? Optimize Storage is recommended and downloads email on demand. Choose Download All Email Contents if you need offline access, accepting that a large store can affect performance.

Can I set up an out-of-office reply in Daylite? No. Out-of-office and auto-reply settings are managed by your email provider. Sign in to your provider's web portal to configure one.

Can I be notified when new mail arrives? No. Mail in Daylite does not support notifications, and the Daylite app icon cannot show an unread badge count.

Why aren't my drafts syncing? Drafts are currently stored only on the device where you wrote them and are not synced to your mail account.
