Working with Synced Appointments
When Google Calendar Sync is active, appointments flow between Google Calendar and Daylite automatically. Appointments created in Google Calendar appear in Daylite, and Daylite Appointments with the synced category appear in Google Calendar. Changes to time, title, and other details sync in both directions.
Synced appointments are full Daylite Appointments — visible to your team and ready to link to your Contacts, Opportunities, Projects, and Tasks. This makes Google Calendar Sync more powerful than the existing calendar integration, where external calendar events are read-only and visible only to you.
Appointments Created in Google Calendar
When an event created in Google Calendar syncs to Daylite, it appears as an Appointment with the category you selected during setup. A banner at the top of the Appointment indicates that some fields cannot be edited in Daylite.
The following fields are managed by Google and cannot be changed in Daylite:
Category — Set by the sync rule and cannot be changed
Owner — Assigned automatically and cannot be reassigned
Meeting links — Must be added in Google Calendar
Delegate — The Delegate button is hidden for Google-created Appointments
All other fields behave as expected. You can add notes, link Daylite items, and view the Appointment in your calendar.
Note: The fields you cannot edit are always managed by Google. To change the category, owner, or meeting link, open the event in Google Calendar.
External Invitees
Meeting invitations are managed by the app where the event was originally created. When you add invitees to an event in Google Calendar, Google sends the email invitations. When you add invitees to a Daylite-created Appointment, Daylite manages those invitations.
Appointments Created in Daylite
Appointments created in Daylite work the same as any other Daylite Appointment. You have full editing capabilities and all standard Daylite features.
For a Daylite Appointment to sync to Google Calendar, it must have the category you paired during setup. If you change the category, the Appointment is removed from Google Calendar. If you change it back, the Appointment reappears.
Important: Changing the category on a synced Appointment removes it from the paired Google Calendar. Make sure the category you selected during setup is the one you intend to use for this sync rule.
Linking Daylite Items to Synced Appointments
Unlike the existing calendar integration, Google Calendar Sync creates full Daylite Appointments that support linking. From any synced Appointment, you can link:
Contacts (People and Companies)
Opportunities
Projects
Tasks
Notes
Linked items appear in the Activity View for both the Appointment and the linked record, giving your team full context on every meeting.
Tip: This is a key advantage over the existing calendar integration. Previously, external calendar events appeared in Daylite as read-only entries that could not be linked to other Daylite items. With Google Calendar Sync, you get the same connected workflow you have with Appointments created directly in Daylite.
Team Visibility
Synced Appointments are visible to your team in Daylite. When a colleague views your calendar, they can see synced Appointments and your availability — not just Appointments created directly in Daylite.
Coming soon: A privacy option to make all your Google Calendar events private in Daylite. Your team will still see the Appointments in your calendar and your availability, but the event details will be hidden — the same as any other private Appointment.
Importing Google Contacts
During setup, you can choose to import Google Contacts into Daylite. This imports guests and invitees from your Google Calendar events — both past and future — as Contacts in Daylite.
This is not a full Google Contacts sync. It specifically imports people who have been added as guests to events in the Google Calendar you are syncing.
