Integrating with Outlook

Learn how to install the Daylite for Outlook add-in to file client emails directly into Daylite, and how to set Outlook as your default email app for Daylite.

Daylite for Outlook is an add-in that lets you file emails from your Outlook inbox directly into Daylite, linking them to People, Projects, and Opportunities. Instead of managing client emails through Outlook folders, you can save your full client history in Daylite where it is connected to the right contact, project, or deal for future reference.

  • Daylite for Outlook is an add-in that works inside Outlook, not as a separate app

  • For Microsoft 365 accounts, the add-in must be installed by your organisation's admin

  • For personal accounts (Gmail, personal Outlook, IMAP), you can install the add-in manually

  • The add-in must be installed separately for each email account you use in Outlook

  • Manually installed add-ins must be reinstalled on each device

Install Microsoft Outlook from the App Store.

  1. Open Outlook for Mac, and log in with the email address and password you wish to use.

Did you know? Outlook for Mac now supports non-Microsoft accounts such as IMAP, Google, and iCloud, however, you must agree to sync your email messages to the Microsoft Cloud.

  1. If you are adding a non-Microsoft account, click Continue when prompted to sync your messages to the Microsoft Cloud.

  2. Outlook will now display your email accounts on the left-hand side of the app.

Installing Daylite for Outlook

Daylite for Outlook is what we refer to as an add-in. This means Daylite works alongside Outlook, appearing as a sidebar panel within the app.

Administered Accounts

  1. Select an email account, then tap the ... icon and choose Get Add-ins.

  2. If the Get Add-ins row is greyed out and you can't click it, make sure you set up your email account in Outlook to sync your messages with Microsoft Cloud.

  3. Search for Daylite in the Office Add-ins page and click it from the search results.

  4. Click Add to install the Daylite add-in.

Deploy the Daylite add-in using Microsoft 365 admin center

  1. Sign in to the Microsoft 365 admin center.

  2. Choose Settings > Integrated apps.

  3. Search for Daylite.

  4. Follow the onscreen prompts to deploy the add-in to your users.

Personal Accounts

If you have a personal email account (Gmail, personal Outlook, IMAP), you can install the Daylite add-in manually:

  1. Download the Daylite add-in manifest file. If the file opens in your browser, right-click the link and choose Save Link As to download it.

  2. In Outlook, select Tools > Get Add-ins.

  3. Select the My add-ins tab.

  4. Under Custom add-ins, select Add from file.

  5. Navigate to the downloaded manifest file and select Open.

  6. Select Install when prompted.

Note: Manually installed add-ins must be installed on each device.

Connecting to Daylite

Open and Pin the Daylite Pane

  1. Select an email message in Outlook.

  2. Select the ... menu and choose Daylite.

  3. The Daylite pane will appear on the right side of Outlook.

  4. Click the Pin icon so the Daylite pane stays open at all times. If the pane isn't pinned, it will close each time you select a different email.

Connect Your Daylite Account

  1. Select Connect to Daylite to link your Daylite account to Outlook.

  2. Approve the permission request to allow Daylite access to your account.

Do you have multiple email accounts? You must install the Daylite add-in for each email account you're using in Outlook.

Setting Outlook as Your Default Email App

If you want Daylite to open Outlook when you click an email address or compose a new email from a contact record, you need to configure two settings: one in Daylite, and one in macOS.

Turn Off Compose in Daylite

  1. Go to Daylite > Settings > Mail.

  2. In the left sidebar under Composing, click Compose in Daylite.

  3. Turn the toggle off.

When this toggle is off, clicking an email address in Daylite will open your default mail app instead of composing in Daylite.

Set Outlook as Your Default in Apple Mail

  1. Open Apple Mail.

  2. Go to Mail > Settings > General.

  3. Under Default email reader, select Microsoft Outlook.

This tells macOS to open Outlook whenever any app — including Daylite — triggers a new email.

Note: Both settings are needed. The Daylite toggle stops Daylite from composing emails itself. The Apple Mail setting tells macOS which app to hand off to instead.

Adding Emails to Daylite

Let's say you attended a trade show this past weekend and this morning there's a follow-up email from one of the attendees in your inbox.

Add the Email to Daylite

Click the grey + Add to Daylite button.

The button changes to orange and now reads In Daylite. Daylite scans the participants of the message.

Save the Sender as a Person in Daylite

  1. The attendee appears in the Daylite pane as a Suggested Contact. Click their name to add them as a Person in Daylite.

  2. Enter any information you have on hand for this new Person record.

  3. Click Save Person when you are done.

Adding Projects, Opportunities, Tasks, and Appointments

When adding a new Person to Daylite, you can also create a linked Opportunity, Appointment, Task, or Project directly from the Daylite pane.

  1. Click which object you want to add and fill in the appropriate information.

Viewing Your Email History in Daylite

Once an email is filed in Daylite, it is linked to the relevant Person, Project, or Opportunity record.

  1. Open the Person record in Daylite. The email appears chronologically in the Activity View.

  2. Double-click the email to open it in a slide-over view and read its full content.

Adding a Composed Email to Daylite

Daylite for Outlook also tracks emails you compose and send, not just ones you receive. You can link and create People, Projects, Opportunities, Attachments, Tasks, and Appointments from a composed message.

Open the Daylite Pane for Composing

  1. Select Daylite from the ... menu and pin it to the Outlook sidebar.

  2. Click the New Mail button in Outlook.

  1. Click Add to Daylite. As you add recipients and attachments, they appear in the Daylite sidebar as greyed-out suggestions, along with any associated Projects or Opportunities.

  2. Click Search if you need to link additional items to the email.

  3. If any items haven't been added after clicking Add to Daylite, click on the individual item to add it manually.

Attachments appear in grey until added to Daylite. Click an attachment to add it, it will change from grey to blue.

Attaching Files Daylite will not recognise an attachment dragged and dropped onto the main body of a composed message as an inline image. Drag the file onto the upper fields (From, To, Subject) or click Attach in the Outlook Toolbar to add it correctly.

Frequently Asked Questions

How do I stop Daylite from composing emails and use Outlook instead? You need to configure two settings. In Daylite, go to Daylite > Settings > Mail, click Compose in Daylite under Composing, and turn the toggle off. Then open Apple Mail, go to Mail > Settings > General, and set the Default email reader to Microsoft Outlook. Both settings are required, the Daylite toggle stops Daylite from composing emails itself, and the Apple Mail setting tells macOS to hand off to Outlook instead.

What's the difference between Daylite for Outlook and Mail in Daylite? Daylite for Outlook is an add-in that lets you file emails from Outlook into Daylite. If your team uses Outlook as the primary email client, Daylite for Outlook is the right integration.

Does Daylite for Outlook work with Gmail or iCloud accounts in Outlook? Yes. Outlook for Mac supports non-Microsoft accounts including IMAP, Google, and iCloud. However, you must agree to sync messages to the Microsoft Cloud during setup. If you choose Sync directly instead, add-ins including Daylite for Outlook will not be available.

Do I need a Microsoft 365 admin to install the add-in? Only if your organization uses an admin-managed Microsoft 365 account. For personal accounts (Gmail, personal Outlook, IMAP), you can install the add-in manually using the manifest file.

Do I need to install the add-in on every device? For admin-deployed Microsoft 365 accounts, the add-in is deployed across devices by your admin. For manually installed personal accounts, yes, the add-in must be reinstalled on each device.
